Getting documents in

Nothing changes about how your office handles paper. The only new habit is pressing Scan.

Scan

Your scanner saves into a folder that BrightDocs watches. Put a stack in the feeder, press Scan, and walk away. Every new file is picked up within a minute.

  • Works with the scanner you already have
  • Processed originals are kept in the folder, so you always have a second copy

Drag and drop

Drop a PDF or image straight into BrightDocs from your desktop, a download, or any folder.

  • PDFs, scans and photos (JPG, PNG, TIFF)
  • Statements downloaded from carrier portals

Email

BrightDocs can also watch a practice mailbox and import the attachments that arrive there.

  • Gmail, Microsoft 365 or any IMAP mailbox
  • Optional — most offices run on the scanner alone

What happens to each document

Within a minute or two of arriving, every document is read, understood and filed. No one at the front desk is involved.

Identifies it

BrightDocs works out what kind of document it is: insurance statements and EOBs, predetermination responses, referrals and specialist reports, lab slips, medical histories, consent forms, invoices and more.

Labels it

It picks out the patient, provider, lab, specialist or insurer named on the page, along with the dates and amounts that matter, and names the file consistently.

Reads all of it

The full text of every page is read and kept searchable, so claim numbers, policy numbers, dollar amounts and addresses can all be found later.

Summarizes it

Each document gets a short plain-language summary, so you can tell what's inside without opening it.

Catches repeats

Insurance statements that have already been received are flagged, so a second copy doesn't get filed as a new one.

Files it

Named, filed and searchable. Documents stay organized by patient, type and date without anyone maintaining folders.

Finding documents

Any document in seconds, not minutes.

Natural search

Type what you're looking for the way you'd say it. "Dumbledore's EOBs" just works.

Filters

Narrow by document type, patient, provider, insurer, lab or date range. Pull up everything from one insurer in one click.

Full-text search

Got a payment of $183.20 and no idea whose it is? Type the amount. The statement and the receipt come up.

Works alongside your practice software

BrightDocs runs on its own. There is nothing to install inside your practice management system, nothing to migrate, and nothing changes about how you use it.

No platform change

Your team keeps using the software they know. BrightDocs sits beside it as the place documents live.

Minimal training

Scanning is one button. Searching is a search box. We set it up with you and stay in touch while your team settles in.

Bring your backlog

Existing files can be loaded in bulk and BrightDocs will name and file them the same way it does new ones.

Your data stays yours

Export everything, any time, in a form you can use without BrightDocs.

Download anytime

Ask for an export and you get your documents in folders organized by month, each file named the way BrightDocs named it, in its original format.

No lock-in

Stop any time and keep every document, already named and organized. The offer on the Get Started page means exactly that.

One flat fee

One monthly fee per office. No per-user or per-document charges.

Document retention in BC

Dental records: retention requirements vary by province. British Columbia requires 16 years.

Financial documents such as insurance statements must be kept for 6 years from the end of the tax year they relate to.

Named, dated, searchable documents make meeting those requirements routine rather than a project.
